The type of personal information we collect

We collect personal information about you when you contact us about our services, visit our websites, register to receive our newsletters, request quotations, and make bookings with us. The type of personal information we collect depends on the purpose for which it is collected and includes:

• Online identifiers and usage data
• Contact details
• Family and lifestyle information
• Required travel documentation such as your passport details, travel arrangements, visa, health, vaccination certificates and travel insurance
• Financial and payment details

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you by for one of the following reasons:

• We have a contractual obligation
• We have a legitimate interest

We process your data for specific business purposes to enable us to give you the best services. For example, we process your information when you visit our websites to send you marketing tailored to your interests and to monitor statistics about visitors to our website.

We collect the information you provide us over the phone and by email to personalise travel quotations and during our booking process in order to perform our contracts with you. We may also receive your personal information indirectly, from the following sources in the following scenarios:

• Any person or legal entity contractually responsible for your travel arrangements (such as the lead booking of a group).
• Any retail partner, travel agency or concierge service responsible for contracting travel services for you.
• Any of our suppliers responsible for performance of the arrangements you contract through us.
• Any company we acquire or that acquires us.

We share information with our suppliers in the UK and overseas for the purpose of booking your services and performing your contract with us.  Our suppliers include the providers of tourist services, accommodation providers, caterers, and transportation companies.

Our websites and presence on social media websites automatically collect information from your computer using “cookies” which provides us with limited personal information. Cookies are small text files that are placed on your computer to streamline your browsing experience and provide us information on the services you are interested in.  We also use them to monitor the performance of our website and patterns of internet traffic to our website.  

You can set your browser not to accept cookies or remove cookies by following the instructions to clear your browser history and cache. In this event some of our website features may not function as a result. 

How we store your personal information

Your information is stored on secure servers.

The information we collect may be transferred to and stored at a destination outside the European Economic Area (EEA) and processed by staff outside the EEA, contracted by us or our suppliers.   

We keep your personal information for as long as necessary for the purpose it was collected.  When you register and provide consent for us to send you details of our newsletter and tours, we will continue to send you those details for six years.  Details of your financial information are held for 7 years for tax purposes. Details of your booking information are held for 10 years for insurance purposes. 

We use a file shredder program to securely delete electronically recorded information.  We use a cross-cut shredder to securely delete information stored as a hard copy on paper.

You acknowledge that the personal information you voluntarily share could be accessed or tampered with by a third party. You agree that we are not responsible for any intercepted information shared through our Site without our knowledge or permission. Additionally, you release us from any and all claims arising out of or related to the use of such intercepted information in any unauthorized manner. You agree to notify us for any breach of security or unauthorized use of your information.

We do our best to protect your information from any unauthorized access, misuse, or disclosure. We may allow access to your personal data to our employees, contractors, and service providers that need to know such data to perform necessary business services. Personal data will be kept confidential and employees and/or contractors will only have access to it when necessary.

Should there be a potential breach of personal data, we have procedures in place to respond. The breach will be identified, the scope will be determined, and we will make reports and/or notification if we are legally required to do so.

How we protect you from Spam?

We comply with Anti-Spam laws. If you opt-in to receive our newsletter, marketing, or other communications, the option to unsubscribe will be included in every email. If we sell or transfer any of our business or assets, certain information about our clients may be a part of that sale or transfer. In the event such sale or transfer results in a material change to this Privacy Policy, we will notify you.
